AI CRM for small businesses: what it is, what it does and what to expect from it

Most small businesses don't lose sales for lack of contacts, but for lack of follow-up: the email nobody sent again, the customer who went cold while waiting. An AI CRM doesn't replace the salesperson; it takes away the work of preparing and remembering so they can spend their time selling.

If you search for "AI CRM for small businesses" you'll find all sorts: from huge programs designed for large teams to tools that promise to sell on their own. This guide sticks to the practical: what it is, what artificial intelligence really does inside a CRM and what you should expect from it before you sign up. We use BionicAdri's AI CRM as an example, but the questions work for comparing any of them.

What is an AI CRM for small businesses?

A CRM is the list of your customers and potential customers, with what you've discussed with each one and where the sale stands. Usually it lives in a spreadsheet or in each salesperson's head, and it ends up half done.

With AI, that list works for you: it fills in the missing data, suggests who to write to, prepares the message and lets you know when someone replies. A person still closes the sale.

What does artificial intelligence do inside a CRM?

  • It completes the data. In BionicAdri, ADRI fills in the email, website, sector and size of each company before anyone writes to them. If a detail is doubtful it leaves it blank: it doesn't invent figures.
  • It checks before writing. It verifies that the mailbox exists and rules out companies whose website no longer exists.
  • It scores each contact from 0 to 100 and tells you why, so you call the most interesting ones first.
  • It prepares the first message by email or WhatsApp, with your company's script and each salesperson's voice.
  • It handles the follow-up with up to three attempts and the days you set between each one. If the contact replies, the sequence stops.
  • It tells you where to start your day: a "Needs your action" inbox with who has replied and who is going cold.

Does my small business need an AI CRM?

Probably yes if any of these situations sound familiar:

  • Contacts are spread across spreadsheets, emails and each salesperson's mobile phone.
  • You forget to write again to whoever didn't reply, or you don't know whose turn it was.
  • Your salespeople spend more time looking for data and writing emails than talking to customers.
  • At the end of the month you don't know how many contacts have moved forward and how many have been lost.

If you have few customers and you look after them all from memory, you may not need one yet. A CRM is useful when the volume goes beyond what one person can remember.

What should you expect from an AI CRM before you sign up?

These are the questions we would ask any provider, ourselves included:

  • Who decides what gets sent? The AI should prepare and the person should decide. In BionicAdri each salesperson can review every draft before it goes out.
  • Which mailbox does it send from? An email from a shared mailbox sounds like a campaign. Here it comes from each sales rep's own mailbox, with their name, their daily cap and their working hours, respecting their public holidays and their leave.
  • How many messages does it send a day? There has to be a cap per person. In BionicAdri only first contacts count; follow-ups don't use up the cap.
  • Who does it write to? Only business addresses, never personal emails, and every message includes an unsubscribe link.
  • Does it make data up? Ask to see what it does when it can't find a piece of data. The right answer is to leave it blank.
  • Where is your data? At BionicAdri, on servers in Europe.
  • What does it cost and what's included? Whether the AI comes included or is paid for separately makes a big difference to the bill.

And a question worth asking yourself: the sender of the messages is your company, and so is the responsibility for sending them. Before writing to new contacts in a country, check with your adviser.

How do you get started with an AI CRM in a small business?

  1. Add your contacts. You add them by hand, import them from an Excel file or ask ADRI to find companies in your sector. Those that come in already complete aren't looked up again: no AI is spent on what you already have.
  2. Let it prepare them. ADRI completes their data, gives them a score and writes the first message.
  3. Start with one sales rep and review. Turn on draft review, see what comes out over a few days and fine-tune the script. Then roll it out to the rest of the team.

The most useful thing at the start isn't automating everything, but making sure nobody is left without a follow-up. If you want to understand why each sales rep writes from their own mailbox, we explain it in a CRM with each sales rep's voice.

How much does an AI CRM for small businesses cost?

At BionicAdri, from €275/month per seat, with AI included and unlimited users. A seat is an AI task running in parallel, not a person. The server where your data lives is chosen separately, from €100/month. Prices exclude VAT. The CRM sits on the same platform as invoicing, email, WhatsApp and tasks, so the customer you win is already in your invoicing without copying data.

Frequently asked questions

Does the AI send messages without me seeing them?

Only if you allow it. Each sales rep can turn on draft review so nothing goes out without their approval, and if a draft has a problem, it waits for a person.

Can I import my contacts from Excel?

Yes. Contacts that come in already complete aren't looked up again, so no AI is spent on what you already have.

Does it work with WhatsApp?

Yes. ADRI prepares the first message by email or WhatsApp, and the conversation is saved on the contact's record.

How much does it cost?

From €275/month per seat, with AI included and unlimited users, plus the server from €100/month. Prices exclude VAT.
