Vehicle record
Registration number, chassis number, alias, type, make, model and year. Also maximum load, dimensions, tare weight, status and date of next service.
Fleet management
It keeps in one place the record of each vehicle, its maintenance and transport services with their electronic control document. It is for companies with vans, trucks or cars that currently jot it down on loose sheets.
What it is
In the Operations menu you have an entry, Fleet Management, with four tabs: Vehicles, Services and DeCA, Live map and OwnTracks. The map and OwnTracks are only visible with the fleet menu permission.
An honest clarification: the live map tracks people, not vehicles. It shows employees who have the OwnTracks app on their phone. Today there is no screen with the position of each truck.
What it does for you
Registration number, chassis number, alias, type, make, model and year. Also maximum load, dimensions, tare weight, status and date of next service.
Each vehicle shows its recent maintenance, alerts and assignment history, with dates and notes.
You record the trip with origin, destination, goods, weight and registration number, and generate the electronic control document with QR before departure.
You see the last location of those who use OwnTracks. It updates automatically every 30 seconds and saves each day's route, up to 90 days back.
You generate a token per employee and give them the QR code or the configuration file. There are three battery profiles: real-time, balanced and power saving.
A vehicle is imported as an asset in the maintenance module, and from its record you schedule the workshop order with the vehicle already selected.
How it works
With New vehicle you fill in the record. Anyone with fleet management permission can edit or delete it later.
From the record you import it as an asset in maintenance, or you directly open an order if it already is one.
You create the transport service, choose whether you are the effective carrier or contractual shipper, and generate the DeCA before departure.
The DeCA and tracking
It is the electronic control document for domestic and cabotage public transport, according to the Resolution of 5 June 2026. It is generated in PDF with a QR code and kept for one year.
The inspector opens the QR address and downloads the PDF, without needing a username or password.
The other party can be an already registered customer, and their name, NIF and address are copied, or an external company that you type in manually.
It does not apply to international transport, where the CMR still applies, nor to private transport of own goods.
Tracking depends on each person's token: you can pause, regenerate or delete it. To clock in/out with location there is a separate process in time tracking, with consent.
There is no drivers screen, no speeding or geofence exit alerts, and no route export per vehicle. We prefer to tell you before the demo.
Price
You pay per seat: a seat is an AI task working in parallel, not a person, so users have no limit. The server where your data lives is chosen separately, from €100/month. Prices exclude VAT.
