Who reads the reports
Only the compliance officer and super-admin. Admin, manager and HR cannot see them, because the System Manager must be independent.
Whistleblowing channel and compliance
A confidential whistleblowing channel, equality plan monitoring, the remuneration register and data rights requests, in a single Hub. It is for HR and compliance in companies that need to keep a trail of every step.
What it is
The Compliance Hub brings together the whistleblowing channel, equality plan monitoring, the remuneration register and data rights requests. Each tool provides the workflow and leaves a trail. The content and its legal validity are provided by your company with its advisers.
None of this is legal advice, nor does it on its own guarantee compliance with any regulation.
Whistleblowing channel
Choose a category, describe the facts and, if they want, attach up to 5 files of 10 MB. If they leave the name empty, the report is anonymous.
With the code, they can check the status and provide more information. If they gave an email, they receive the acknowledgement of receipt instantly and notifications of changes.
It goes through read, under investigation and resolved or archived. When resolving, a summary is written for the reporter; internal notes are not visible to them.
Only the compliance officer and super-admin. Admin, manager and HR cannot see them, because the System Manager must be independent.
Acknowledgement within 7 days and response within 3 months, extendable once to 6 with justification. The dashboard warns if the acknowledgement is delayed or the deadline is approaching.
They are not logged. Attachments go to a private drive and no report can be deleted.
After 3 months without investigation, the content is anonymised. Resolved or archived reports are kept for up to 10 years, a rule that is switched off by default on each server.
Equality and pay
A list of measures across the 8 areas of the RD 901/2020 diagnosis: access to employment, classification, training, promotion, pay, work-life balance, underrepresentation and harassment. Each measure has an owner, deadline and status. It is monitoring, it does not replace the negotiated plan or the official register.
By professional category: average annual salary for men and women, gap and hourly pay. If hours are missing, "No hours" appears: they are not invented. IRPF and Social Security do not count as pay. Exports to PDF.
If a category exceeds 5%, HR records whether the gap is justified or requires an action plan, with an optional target date. Who and when is recorded. The workers' committee can view and download the register, but does not write evaluations.
For transparency towards candidates, each CV category can carry its salary band, which is shown in the public CV upload. The employee sees the levels and criteria in My pay. The application does not include any field for the candidate's current or previous salary. The pay register is only visible to HR, manager and super-admin. If you use payslips on the platform, see payslips with digital signature.
Personal data
Each employee can request from their profile, in My data, access, rectification, erasure, portability, restriction or objection. They can only have one open request of each type.
The DPO sees requests in the Hub, changes the status, writes the response and it is recorded who and when. The one-month deadline is marked with labels: within deadline, expires in 7 days or overdue.
Erasure is a request assessed by a person, because much employment data is retained by law, such as working time records for 4 years.
Chats, notices, access logs and other records are deleted after at least 180 days. The periods can be increased, never reduced below that floor. Payslips and accounting are retained without automatic purging.
Holidays and leave are stored for 4 years, and the trail of changes and access to sensitive data cannot be modified or deleted. Security details are in security and compliance and clocking in/out in time tracking. Staff absences are managed in holidays, leave and shifts.
Price
You pay per seat: a seat is an AI task running in parallel, not a person, so there is no limit on users. The server where your data lives is chosen separately, from €100/month. Prices exclude VAT.
Frequently asked questions
No. By default only the compliance officer and super-admin see them, so that whoever manages the channel is independent. The administrator can change the permissions in Roles.
Yes. If you leave the name blank, the report is anonymous. You receive a tracking code to check the status and reply to the case handler.
After 3 months without investigation it is anonymised: the account, identity, email and evidence are deleted, and a record is kept that the channel worked.
It is mandatory in companies with 50 or more people within the framework of RD 901/2020. Smaller ones can use the tool voluntarily. Check with your adviser.
One month, extendable to three in complex cases. The Hub marks the deadline as expired at 30 days, but it does not execute anything on its own.
No. It gives you the workflow, the log and traceability. What you answer, what you publish and whether it is enough is decided by your company with its employment law advisers.
