Task management and automations

Management of tasks assigned to your team, optionally linked to clients and projects, with time tracking and automations such as alerts when the work approaches the estimated budget.

Basic concepts

Each task has a title, a status (pending, in progress, completed, paused) and, optionally, an associated client. You can estimate it in hours and record the time worked using a timer or manual entry. Progress is calculated automatically by comparing recorded hours with estimated hours.

Automatic progress notifications

When a task has estimated hours and is associated with a client, the system sends automatic notifications when crossing 80%, 90% and 100% of the hours budget. This avoids surprises for both the team and the client.

Who is notified?

  • To the client (if the task is associated with one) — with an informative tone: "your project is at 80%, we're just keeping you updated".
  • To the team (assignees and the task creator) — with a more direct tone, inviting them to review the scope or request additional budget.

Each threshold is notified only once per task, without repeating even if the hours go up and down. If the task does not have a defined hours budget, no notification is possible — no baseline is invented.

Scheduled AI tasks

In addition to normal team tasks, you can schedule tasks for your AI assistant to run automatically at a specific time, from the calendar:

  1. Create a calendar event with a title and date/time.
  2. Enable the automatic execution option.
  3. Write the prompt (the task to be carried out) and, if you want, a recurrence.

At the specified time, your assistant runs the query autonomously. The status is shown in the calendar itself and, when it finishes, a conversation is created in the chat with the question and the answer so you can follow the thread.

Example: "Every Monday at 9am, prepare the weekly sales summary for me."

Best practices

  • Always define an hours estimate if you want to receive progress notifications.
  • Record hours worked regularly so that progress is reliable.
  • Use scheduled tasks for recurring reports that you currently generate by hand every week.

Quick summary

This BionicAdri guide explains the flow in operational language: what to do in the interface, what the platform checks and when it is advisable to escalate to an ADRI agent or to support. Use it as a checklist the first time and as a reference after onboarding.

  • Requirement: a user with permission for the module described.
  • If a step fails, check your role and permissions and the connection status (email, ERP, WhatsApp…).
  • To automate the flow with AI, open ChatAI and describe the goal; the supervisor delegates to the right specialist.

Frequently asked questions

Can I do it on mobile?

Yes, in most modules; some dense panels (ERP, campaigns) work better on desktop.

Are changes audited?

Relevant actions are recorded in the module history or in ADRI's shift workspace.

Where do I ask for help?

  • Tasks
  • Automation
  • Calendar
