Projects and tasks

Projects and tasks: board, hours and costs to justify grants

A task board with a timer, warnings when hours run out and costs per project and trip. It is for teams that share out work and for companies with funded projects that have to justify every expense.

What it is

One place for the work, the hours and the project's money

Each task has an owner, deadline, hours and comments. Each project can carry its expenses, its travel and its people's hours. Everything lives in the same application as the rest of your company, without parallel spreadsheets.

If your project is internal and normal, you only use tasks. The grants part is optional per project and does not bother those who do not need it.

Tasks

A five-column board and the timer at hand

My tasks board

Five columns: Pending, In progress, On hold, Pending review and Completed. You drag cards between them. Each column loads 15 cards and a “Load more” button brings the rest.

Deadlines and productivity

The Deadlines tab is a delivery calendar. Productivity cross-references task hours with time tracking and exports to Excel.

Create with ADRI

You describe the work (“website for client X, 10 h of design for Ana, 20 h of programming for Pedro”) and ADRI proposes the parent task and its line items. Nothing is created until you press Create.

Roles on each task

Owner, collaborator or auditor. If the task requires review, on completion it moves to “Pending review” and an auditor approves it or returns it with a note.

Comments and files

Comment thread with @mentions, subtasks as a checklist, files up to 20 MB and a history with everything that has happened.

Deadline warnings

One day before, the same day and when it is due, by email and bell. WhatsApp is optional and activated by the administrator.

The permissions for each role are adjusted in Roles. By default, the employee role does not include task permissions until they are assigned. If you want to see how it fits with the time clock, see the time tracking.

Hours

The timer counts what is actually worked

  1. You start the timer

On the task card you press Start. If it was pending, it moves to In progress. You can pause and resume.

  2. You stop it with a note

When you stop, you write a sentence about what you did. The hours are added to the task and each segment is kept in the history.

  3. The time clock is aware

At the end of the working day, running timers are stopped. During a lunch break they are paused, and resumed when you return. This way hours are not inflated outside working hours.

Warnings at 80, 90 and 100%

If the task has estimated hours, the system warns the first time each threshold is crossed. The client, if the task is linked to them and they have access to the portal, receives an informative tone; the team, an actionable one. Thresholds are edited in Task Settings.

Line items to split a job

A parent task can have line items with their hours and people. The parent's budget is not added to that of the child tasks: breaking down 20 h into line items that add up to 20 h is still 20 h. Clocked hours are added.

Funded projects

Funder, grant code and travel

A project can carry the funder's name and the grant code. It may not have a client: a research project normally does not.

Project trips

Each trip has a destination, dates, purpose and participants. It groups tickets, subsistence and accommodation. If the dates fall outside the project, it warns you, but does not block you.

Allocate an expense

When entering expenses or using quick capture, you choose Project, Trip and Cost category (personnel, travel and subsistence, equipment, subcontracting or other direct costs). The dropdown only offers open projects.

AI doesn't choose for you

ADRI reads the receipt and extracts date, amount, VAT and supplier. But it never fills in project, trip, category or eligible amount: a person always enters that.

In manual entry you can also enter the eligible amount, if the body only recognises part of the expense, and attach proof of payment separately from the invoice. Changing the allocation of an expense that has already been sent or approved requires expense administration permission and logs who did it and when.

Supporting documentation

Costs by project and trip, ready to submit

The Costs tab of each project adds up approved or paid expenses, in euros, by category, by trip and by person. You can filter by trip, person and dates.

What the Costs tab includes
ItemWhat you see
TotalsExpenses, personnel (if you have permission), eligible and grand total.
Personnel sheetHours by person and task, with the rate in force that day. Only hours from the actual timer count.
AlertsExpenses without proof of payment, expenses in other currencies (not counted), unassigned hours and hours without a rate.
ExcelSeveral sheets: summary, by category, by trip, by person, expenses and personnel.
Supporting documentation ZIPThe Excel file plus the invoices and numbered supporting documents. It is prepared in the background, the bell notifies you and the link lasts 7 days.

Personnel amounts are salary data: only HR and management see them. Everyone else sees hours, not euros. Hourly rates are not edited: a new row is added and the history remains complete. If the total changes after you download an Excel file, the tab warns you of the discrepancy with both figures. To see all projects at once, there is a view in the management section. You can ask ADRI for “the costs of project X in Excel” from the chat.

Price

From €275/month, AI included

You pay per seat: a seat is an AI task running in parallel, not a person, so there is no limit on users. The server where your data lives is chosen separately, from €100/month. Prices exclude VAT.

Frequently asked questions

What people usually ask us

Can I use only tasks, without grants?

Yes. Funder, trips and cost data are optional per project. An internal project still works as usual.

When does the system warn me that I will exceed the hours?

When a task has estimated hours and the logged hours cross 80%, 90% and 100% for the first time. Each threshold alerts only once per task.

Who can see how much each employee costs?

Only HR and management. Everyone else with access to costs sees hours worked, but no personnel amounts.

Can expenses in other currencies be justified?

They appear in a notice, but are not included in the totals: only euro expenses count.

Are tasks deleted when they are completed?

No. They remain on the board as completed. Deleting a task is permanent and requires a permission that super-admin, admin and manager have by default.

Can ADRI allocate an expense to a project?

If you ask it via chat, yes, and it checks the same rules as the screen. Always review what it has allocated.
